Outlook Calendar

Two-way sync with Outlook.com, Hotmail and Microsoft 365 — choose which calendars come in, which Space each belongs to, and what happens when both sides change.

Experimental. Integrations are still being tested. They may not run, or may give incomplete or wrong results — check anything important yourself, and tell us what goes wrong.

Connect Outlook and your Outlook events show up in Daykite; change something in Daykite and it shows up in Outlook. It works with personal Microsoft accounts (Outlook.com, Hotmail, Live) and with work or school Microsoft 365 accounts.

Connect

  1. Integrations → Microsoft Outlook → Connect.
  2. Choose your Microsoft account and approve on Microsoft's screen. Daykite asks for your profile and your calendars — nothing else. It can't read your mail.
  3. Back in Daykite, Choose calendars opens straight away.

Work or school account? Some organisations only let apps in after an administrator approves them. If Microsoft says you need admin approval, Daykite tells you so. Ask your IT admin to approve Daykite for your organisation, then connect again.

Choose calendars

Every calendar on the account is listed: your own calendars, calendars people have shared with you, and Birthdays.

  • Switch each on or off. Your main Outlook calendar starts on.
  • Pick the Space each belongs to. That decides who can see its events. See Spaces and privacy.
  • Calendars Outlook only lets you read, such as a colleague's calendar shared as view-only, are marked Read-only. Daykite never writes to them.

Save and sync. Reopen the picker any time with Choose calendars.

What syncs, and how fast

Direction When
Outlook → Daykite When you connect, when you press Sync now, and every 10 minutes in the background. Daykite keeps the last 90 days and the next 12 months in step.
Daykite → Outlook Events you create, edit, move or delete on an Outlook calendar reach Outlook within about a minute. That includes bookings and reschedules.
  • Deleted in Outlook, deleted here. An event you delete in Outlook disappears from Daykite at the next sync.
  • Repeating events go to Outlook as one repeating event, in their own time zone, so every Monday at 09:00 stays at 09:00 when the clocks change. Changing or cancelling one occurrence in Daykite changes that occurrence in Outlook.
  • Guests aren't copied to Outlook, so Outlook never sends its own invitations. Daykite already emails guests, so they don't get two.
  • Teams links on Outlook events come into Daykite as the event's call link.

A few repeating patterns can't be expressed in Outlook: the 1st and 3rd Monday of the month in one rule, or the last day of the month. Daykite doesn't send those with the wrong days. The change stops with a note on the event, so you can split the series or pick another pattern.

When both sides change the same event

If an event is changed in Outlook and in Daykite before they sync, Outlook's version wins. The event shows a note, "Changed in Outlook at the same time — kept Outlook's version", so you can re-apply your change if you still want it. Nothing is silently merged.

The card, at a glance

  • In use: the calendars that are switched on.
  • 2 changes on the way to Outlook: waiting to be sent, normally for seconds.
  • 1 change couldn't reach Outlook: Daykite tried five times and gave up. Open the event: its note says why. Editing it again retries.
  • Outlook is busy right now: Microsoft asked Daykite to slow down. Nothing is wrong. Daykite tries again a few minutes later.
  • No longer in Outlook, so switched off: a calendar you'd chosen was deleted or unshared in Outlook. Its events stay in Daykite; nothing more syncs from it.
  • Reconnect needed: Microsoft stopped accepting the connection. You may have removed Daykite's access, your password changed, or your organisation now asks you to sign in again. Choose Reconnect.

Disconnect

Disconnect removes the connection and deletes Daykite's access tokens straight away. Events that came from Outlook leave your calendar; nothing in your Outlook account is deleted.
