The group had grown by acquisition over a decade, and each acquired site had kept its own systems rather than migrate — the usual outcome of "we'll unify it later" never happening.
Six sites ran on six different legacy systems that didn't talk to each other. A patient admitted at one site and referred to another meant re-entering everything by hand, and nobody had a real-time view of bed availability across the group.
We built one operations platform with a shared data model, so a bed, a discharge and a referral mean the same thing everywhere. Sites keep the ability to configure their own workflow — how something is done — without being able to redefine what it means, which is what let us migrate six sites' worth of historical records without a single day of downtime for admissions.
The group now has a real-time view of bed availability across every site, referrals carry the full patient record automatically, and billing reconciles against insurance without a separate spreadsheet. Six systems became one, with zero admissions downtime during the switch.
The weekly manual occupancy report is gone — leadership now checks a live dashboard instead — and average referral handoff time dropped from same-day to under fifteen minutes.
